User roles allow you to specify the tasks each team member can carry out in Mirakl Back Office. This ensures that co-workers can only access the sections they need for their work (Accounts only, Customer service only etc).

Where can I find user management?

You can manage your team members on the Mirakl platform. Go to

Settings > User

Step-by-step guide
  1. Sign in: Log in to your Mirakl account.
  2. Navigate: Click on ‘Settings’ in the menu on the left, then click ‘Users’.
  3. Overview: Shows a list of people who can access your shop.
  4. Edit: Click on a name to adjust their role.
  5. Create user: Click if you wish to create new users.

Note: To do this you need to have ‘Store Administration’ rights.

Key Roles Overview

Store Administration


Main Administrator:

Can do everything. Can create new users, reset passwords and set up technical interfaces (APIs).

Inventory Management


Can create product master data, change prices and update stock levels.

Order Management


Can view orders, confirm dispatch and process returns.

Accounting


Can view invoices, payment reports and financial documents.

Customer Support


Can reply to messages from customers and help with any issues regarding orders.

Important security rules

Multiple roles:

A user can hold multiple roles at the same time (e.g. Support + Order Management).

The administrator:

At least one shop team member needs to have ‘Store Administration’ rights, to ensure you do not lock yourself out.

Revoking access rights:

Removing all roles from a user means they can no longer log in. This is useful when someone leaves the company. (To ensure continuous data logging in Mirakl, users who  manage active contracts cannot be deleted irrevocably.)

Before you start selling, we recommend you complete the steps below:

🔲  Team access rights

Do users working in Accounting or Logistics need their own accounts?

Tip:
Create a separate account for each user. This is more secure than sharing passwords.

🔲  Choose roles correctly

Did you assign the ‘Support’ role to the Customer Service team?
Did you assign the ‘Accounting’ role to the Accounting team?
Did you assign the ‘Inventory Management’ role to your warehouse manager?

🔲  Check email addresses

Go to Settings > Users and ensure all listed email addresses are correct and up-to-date. This ensures smooth communication.

Customising Email Notifications

To stop drowning in emails yet not missing important events (such as new orders and customer messages), tailor Mirakl notifications to each user.

Where are the notification settings?

  1. Log on to the back office and click your user icon (top right corner).

  2. Select Personal settings.

  3. Select topics: On the category list (“Orders”, “Offers”’ etc) click the small arrow to view all individual notifications within a category.

  4. Customise:
    Enable: Move the slider to the right (coloured).
    Deactivate: Move the slider to the left (grey).

Important for your success: Opt-in Operator Communication
(Newsletter re-subscription)

To ensure you don’t miss any important changes to your shop, always enable “Operator News” and the “General news and updates” option shown underneath. 

To do this, go to “Communication preferences” and move the slider to ‘On’ in the “Operator News” row.

Then do the same for “General news and updates” that pops up below. 

Also, ensure that important notifications (e.g. customer requests or orders) always reach the  respective team members in charge.

This way, you can respond quickly and provide a positive shopping experience.
